The Wilding Airfield – Booking Terms & Conditions
These Booking Terms and Conditions (“Terms”) apply to all bookings made with The Wilding Airfield (“we”, “us”, “our”). By making a booking, you confirm that you have read, understood, and agree to be bound by these Terms.
1. Making a Booking & Payments
1.1 A booking is confirmed once we have received a non-refundable deposit of 25% of the total accommodation cost and issued written confirmation.
1.2 For bookings made within 10 weeks of the arrival date, full payment is required at the time of booking.
1.3 Where a deposit has been paid, the remaining balance is due no later than 10 weeks before arrival.
1.4 The deposit contributes towards the administrative, operational, and reservation costs associated with securing your stay and is therefore non-refundable.
1.5 If the balance payment is not received by the due date, we reserve the right to cancel the booking without refund of the deposit.
1.6 Prices include accommodation only unless otherwise stated. Optional extras (including but not limited to hot tubs, saunas, firewood, or experiences) may be charged separately.
2. Cancellations by You
2.1 All cancellations must be made in writing by email to fin@thewildingairfield.co.uk. Cancellations take effect from the date we receive written notice.
2.2 If you cancel more than 10 weeks before arrival:
The 25% deposit is retained
Any additional monies paid will be refunded, less any applicable administration fee
2.3 If you cancel within 10 weeks of arrival:
All monies paid are non-refundable
2.4 A £50 administration fee may be charged in connection with cancellations.
2.5 If you fail to arrive on the agreed arrival date, or leave early, the booking will be treated as a no-show or early termination, and no refund will be due.
3. Amendments to Bookings
3.1 Requests to amend dates or accommodation more than 10 weeks before arrival will be considered subject to availability and may incur a £50 administration fee.
3.2 Amendments are not permitted within 10 weeks of arrival. Any request to change dates or accommodation within this period will be treated as a cancellation under Section 2.
3.3 If we choose, entirely at our discretion, to offer a goodwill amendment, date move, or credit, the original cancellation terms and timelines will continue to apply.
4. Cancellations by Us
4.1 In the unlikely event that we need to cancel your booking due to circumstances beyond our reasonable control, safety concerns, or essential operational reasons, we will:
Offer an alternative date or accommodation where possible, or
Provide a full refund of all monies paid
4.2 Our liability in such circumstances is limited to the refund of monies paid. We do not accept responsibility for any additional costs, expenses, or losses incurred.
5. Weather, Travel Disruption & Insurance
5.1 The Wilding Airfield operates in a natural, rural environment, and weather conditions form part of the experience.
5.2 Adverse weather, travel disruption, illness, or personal circumstances do not constitute grounds for cancellation or refund, except where access to the accommodation is deemed unsafe by us.
5.3 We strongly recommend appropriate travel and cancellation insurance to cover unforeseen circumstances.
6. The Natural Setting
6.1 The site is located within a rewilded landscape. Guests should expect uneven ground, wildlife, insects, changing weather, natural sounds, and limited lighting.
6.2 Guests are responsible for ensuring they are appropriately equipped for rural, outdoor conditions.
7. Occupancy, Behaviour & Conduct
7.1 Accommodation may only be occupied by the maximum number of guests stated at the time of booking.
7.2 Parties, events, or gatherings are not permitted without prior written consent.
7.3 Guests must behave responsibly and with consideration for:
Wildlife and habitats
Other guests
Staff and neighbouring land
7.4 We reserve the right to terminate a stay immediately and without refund if behaviour is unsafe, disruptive, unlawful, or damaging.
8. Fires, Hot Tubs, Saunas & Equipment
8.1 Use of wood-fired hot tubs, saunas, fire pits, stoves, and outdoor equipment is entirely at your own risk.
8.2 Guests must follow all instructions provided. Failure to do so may result in injury or damage.
8.3 Children must be supervised at all times around fires, hot tubs, and outdoor features.
8.4 Smoking, vaping, candles, or naked flames inside accommodation units are strictly prohibited.
9. Damage, Cleaning & Loss
9.1 Guests are responsible for any loss, damage, or excessive cleaning required during or as a result of their stay.
9.2 We reserve the right to charge for repair, replacement, or additional cleaning where necessary.
10. Personal Property & Liability
10.1 Personal belongings are brought onto the site entirely at your own risk.
10.2 We accept no responsibility for loss, theft, or damage to personal property.
10.3 Nothing in these Terms limits our liability for death or personal injury caused by our negligence.
11. Complaints
11.1 Any issues or concerns must be reported to us during your stay so that we have the opportunity to address them.
11.2 Complaints raised after departure may limit or exclude any remedy.
12. Pets
12.1 Pets are only permitted where explicitly stated
13. Accessibility
13.1 Due to the off-grid nature and natural terrain of the site, accommodation may not be suitable for guests with limited mobility.
13.2 Please contact us prior to booking to discuss any access requirements.
14. Force Majeure
14.1 We shall not be liable for failure to perform our obligations where such failure results from events beyond our reasonable control, including but not limited to extreme weather, fire, flood, power failure, disease, government restrictions, or acts of nature.
15. Governing Law
15.1 These Terms are governed by and construed in accordance with the laws of England and Wales.
15.2 Any disputes shall be subject to the exclusive jurisdiction of the English courts.
